Reusing Audit Questions & Client Status

An update to the Audit Questionnaires has been released to allow reusing the same question in multiple questionnaires. Watch the video to learn more.



It is now possible to reuse audit questions and audit sections in multiple questionnaires. This better allows you to create variations around a questionnaire, like having a "Lite" and a "Detailed" version for example.

Previously, you could have two questionnaires containing the same question, but it would be a distinct copy. When looking at the question's history through the "Lite" version of the questionnaire, you would only see the past answers from the "Light" version as no link exists between the "Lite" and "Detailed" versions of the question in the two questionnaires.

Reusing questions will make it easier to view the complete history of answers, regardless of which questionnaire version a question was answered in.

One of the first things you'll see is a change to the sidebar. You now have audit questionnaires, sections and questions all individually listed. Sections and Questions are only showing the ones marked as being reusable as we'll see a bit later.

When adding a section to a questionnaire, you can now choose:
a) Create new section
b) Reuse a section that was previously marked as being reusable.

The same goes for questions.

On the question side, you can mark a question as being reusable, and also mark it as being part of the Client's Status. Marking it as being part of the Client Status will add it as a column to the new Overview / Client Status screen. This screen allows you to view the latest answer for all client status questions, for all propelled companies at once.

Merging existing questions

Going forward, reusing sections and questions is the way to go. But if you've been with Propel for some time, you may already have multiple copies of the same question lying around in multiple questionnaires. If that's the case, you will want to merge duplicate questions together.

Reusing the "Advanced Threat Protection" question as an example, the problem we have is that it is copied in both the "MSP Basic Standards" and the "Lite Standards" questionnaires. We can mark both as part of the client status but since they are two distinct copies of the same question but copies nonetheless, we will see them as two different columns in the client status screen.

To resolve this, we need to merge the two questions together from the "Reusable Questions" screen. We first select both rows, and merge them via the action menu on the top right corner. This will keep only one question and re-link all past company audit questions to the single copy kept. If we now go back to the Overview / Client Status screen, you'll see that there's now only one column where there used to be two.

Going back to view a company audit question's history, we now see all past answers for the merged questions, regardless of which questionnaire version a question was answered in.
